Exhibitor Service Manual

The online manual provides vital information to assist your exhibit preparation and provide a smooth and efficient coordination of services. Exhibitors can access booth construction services, technical booth services, furniture rentals and amenities, cleaning and waste management and other important information such as deadlines for ordering.

Booth Construction Standards

Static Load, Size
Maximum static load allowed is 3,500kg/m². The width and height of Gate C4 are 8m x 6m.

Booth Maximum Height (Clearance)
One-deck booths must not exceed a height of 5m from the pavilion floor. Two-deck booths may go up to the maximum height of 6m from the pavilion floor.
Booths under the venue’s mezzanine must not exceed 3.2m from the pavilion floor. The Exhibitor’s products must not exceed that height.
Walls that exceed 2.2m facing a neighbouring booth must be finished on the outside with a material compatible with the rest of the booth, and with no advertising.
Booths that reach above 3.5 from the pavilion floor must have a clearance to neighbouring booths according to the diagram below:

Raised flooring
Only wooden or modular installations are allowed. If raised flooring is used, a 1m-wide access ramp is mandatory for wheelchairs, in compliance to ABNT’s standard NBR–9050). The ramp must be located within the boundaries of the leased area. Booths on areas smaller than 20m² and with no ramp must provide access to wheelchairs.

Flooring for water supply
If a water supply is needed, the booth’s flooring must be raised 10cm (4”) from the pavilion floor.

Glass walls
The maximum height for walls made of single glass panels is 3.5m, and they must be clearly indicated with safety warning tape. Above that height, glass panels must be reinforced with polyethylene terephthalate (PET), or panes made of polycarbonate, acrylic or laminated or tempered glass must be used.
It is strictly forbidden to bore holes or apply paints, glues or other materials onto the venue’s walls, floors, facilities or structures. No material or object should lean on or be supported by walls, columns or doors.

Booth boundaries
Items, materials or tools to be used in the booths must not be placed in aisles or neighbouring areas at any time.

Double-Deck Booths
Only island booths with a minimum of 100m² are allowed to have an upper deck, and its area must not exceed 40% of the total floor space taken by the booth.
Under no circumstance will the upper deck area be allowed to be less than 5% or more than 40% of the ground floor total area.
• Maximum height of double-deck booths cannot exceed 6m.
• Stairways must have a minimum clear width of 1.2m, not including the width of the handrail.
• The diameter of spiral staircases must not be shorter than 1.2m for public access or 0.8m in case the upper deck is used for storage only.
• A notice board with minimum 5cm-high lettering must be clearly visible in the stairways up, stating the maximum occupancy on the upper deck, both in terms of the number of people and the total weight in kilograms.
• For safety, in case the upper deck has railings facing the hall’s walkways, the deck must have a 1-metre clearance to the edge of the booth space.
• No glass parts are allowed on the upper deck. The only transparent materials allowed are acrylics, polycarbonate and the like.
• The Brazilian Association of Technical Standards rules that load-bearing structural parts of upper decks must be made of steel.
• The load-bearing structure must be dimensioned according to the load predicted in the project.

Islands, Island Edges or Corners
Under no circumstances should an island booth be completely walled to the facing lanes. At most 30% of linear length should be walled on each side of the booth with 6m maximum height.
Booths that reach above from the venue floor must have a clearance to neighbouring booths.
If the booth includes corners or island edges, it must obey the clearance table even if made of transparent glass walls.

Overhanging Features and Vertical Projections
Overhanging features shall be allowed only if they project over the leased area. Overhanging features over common areas or neighbouring booths are prohibited.

Wire Ropes
Running wire ropes, steel braces or any connecting features across or over aisles, common areas or neighbouring booths is not allowed. Should your design require this, the matter must be discussed in advance with Aranda.

If you intend to ship any material to the The smarter E South America, please contact our official Freight Forwarding Agent/Customs Broker WIND Logistics in advance.
Brazilian Customs authorities are very demanding, so it is very important to follow their shipping instructions.

The DEADLINE DATES for the Exhibition goods are:

  • Seafreight shipment must arrive at SANTOS Port until 30 days before the delivery date to the booth.
  • Airfreight must arrive at GRU Airport until 20 days before the delivery date to the booth.

Before the shipment, you must contact WIND LOGISTICS, in order to receive the proper shipping instructions and all details.
Some kind of products need Import License and special authorization BEFORE the shipment.
